Service appointments
Online appointment booking is available for selected services. General terms common to several services are listed below – see the sections further down for specific services. These are conditions we need you to be aware of before you book a service appointment with us.
Our appointment booking system, will guide you for the service you want, as not all services are available in all locations. Please do ask for further information, if you are in need of help.
Appointments, can be made by text, email, phone or via the website appointment page. Your appointment time is reserved specifically for you. Please note, you cannot be seen any earlier than your allotted time.Services must be booked by customers aged 18 or over. For services booked on behalf of another, the person attending the appointment will be deemed to have accepted any attendant terms and conditions relating to that service appointment. Appointments are for one person or location unless otherwise arranged. Irrigation City Inc will calculate the cost of the work by charging the owner all labor for repair(s) at the rate of $ 75.00 per hour per laborer. With a 1 hour minimum charge and then billed at 15 minute increments. We will seek to perform your work cost efficiently. This does not mean, however, that we will necessarily assign a person with the lowest hourly rate. When selecting personnel to perform the services required by your engagement, we generally consider the skill, ability, and experience levels required for the work, prior commitments of our personnel, and the time demands of your matter and other matters, as well as the hourly rates of our personnel, unless you request otherwise. Under some circumstances, persons with higher hourly rates may be assigned in order to provide specialized skills, to complete the matter more quickly, to meet time constraints imposed by you or the circumstances, to seek to perform the work at a lower overall fee, or because of personnel workloads. All materials and equipment will be charged at suggested retail. All parts associated with any job are warranted as per the manufacturers specifications. The labor for the work is warranted for 30 days, except for winterizing. We do not guarantee any parts not supplied and installed by Irrigation City Inc. Subcontractors we may subcontract portions of the Services, but will remain responsible to you for the performance of the Services and our other obligations under this Agreement. All appointments are subject to a truck charge, depending on far we have to travel to site, there are travel charges for any estimate(s), and for winterizing unless the cost of gas goes over $3.50 per gallon. Appointments are made for a specific service, so they cannot be transferred to other services.
All appointments booked, are subject to availability, and we aim to make sure that we keep every appointment booked. If for any reason we’re unable to keep our appointment with you, we’ll contact you, and make every attempt to find a convenient alternative appointment for you.We reserve the right to refuse any appointment booking or to carry out a service appointment if a customer has behaved in an inappropriate, misleading or abusive manner, we feel its unsafe to perform the service or if they have continually cancelled appointments without good reason.
If you’re late for an appointment, we’ll make every effort to accommodate you. If you’re not at home when we arrive, we’ll wait for up to 15 minutes. We ask that you be home at least 20 minutes before your appointment. If you cancel an appointment within 48 hours of the appointment date, we reserve the right to make additional charges for another appointment.
48 Hour Cancellation & Rescheduling Policy:
Your appointments are very important to Irrigation City Inc. They are reserved especially for you. We understand that sometimes schedule adjustments are necessary. Therefore, we respectfully request at least a 48 hour notice for cancellations or rescheduling of appointments.
Please understand that when you forget, cancel, or change your appointment without giving enough notice, we miss the opportunity to fill that appointment time, and clients on our wait list miss the opportunity to receive services.
Irrigation City Inc. values its staff’s time. We understand they have other jobs, family, and friends with whom they could be spending time with. Irrigation City Inc. pays its staff their entire wage for any missed or late cancelled appointment out of respect for their valuable time. Therefore, we have a strictly enforced 48 hour cancellation and rescheduling policy.
Any appointment missed, late cancelled, or changed without 48 hour notice will result in a charge equal to 100% of the reserved service amount.
As a courtesy, your appointments are confirmed electronically the day before your scheduled appointment by email and/or text messaging from our online appointment scheduling software because we know how easy it is to forget an appointment you booked months ago (still in beta, we are working on this). You have the option, of the following without a charge:
reschedule/change/modify your appointment, there is a link provided in your confirmation email;
cancel your appointment, there is a link provided in your confirmation email;
respond back by email with any changes or issues;
call our office number which is provided in the email for customer service;
Please understand that it is your responsibility to remember your appointment dates and times in order to prevent any missed appointments which result in a cancellation fee. Not receiving an electronic notification of your appointments from us the day before is not sufficient reason to miss an appointment if the original confirmation notification was received timely. A link to automatically upload the appointment to your calendar is provided on every electronic confirmation (Still in beta we are working on this).
Any late arrival will shorten your appointment time and will not be made up by running into the next client’s scheduled appointment. We recognize that the set appointment time frames may differ from the actual appointment by 10-15 minutes based on shift changes and traffic. End of the day appointments could be up to 2-3 hours late! All appointments must be held with a valid credit card, or some form of payment type at the time of booking. A credit card hold transaction maybe made on your credit card to reserve the appointment time. Your credit card information is stored will full encryption. We accept payment with Visa, Mastercard, Discover, American Express and PayPal. We may accept payment via other means – the latest methods of payment can be found on our Website. We do not store full credit or debit card details. Where we need to capture payment details as part of a checkout process they are passed to a PCI-DSS accredited payment service provider and then discarded. You confirm that the payment details you provide to us will remain valid up until 1 week after your Appointment is completed and agree promptly to provide payment by alternative means in the event your payment cannot be processed.
Emergency absences, will be considered on an individual basis by Irrigation City Inc. You may request not to be charged for the late cancelled session in writing/Email within 7 days if you feel such action is warranted. Irrigation City Inc. will make the decision to honor your request on a case-by-case basis and will respond back to you in writing/Email within 7 days.It is mutually understood that if a cancellation is due to circumstances beyond any of our control, such as power outage, unfortunate incidence, or weather that requires you or us to have to cancel or be closed during regular business hours, we will reschedule your existing appointment.
Winterizations, we will NOT perform any repairs at the time of winterizing, all systems must be 100% functional. If we need to make repairs so we can winterize your system, additional charges will apply besides the winterizing fee. Coupons MUST be presented to the technician at the time of service, before it starts. There will be NO exceptions to this rule! We reserve the right to open the valve boxes to manually winterize the system, if we feel its necessary. Additional charges will apply for hose enclosures, faucets, drip lines (if we are not informed). If you elected to pay at the time of service, and forgot too leave a payment we reserve the right to refuse service(s) and the appointment will be considered a missed appointment, and fee’s will still be charged.
Payments, all payments will now be due at the time of service, unless other arrangements have been made, or you are a commercial account. if after 30 days no payment has been made, we reserve the right to collect payment by any means necessary, late fee’s and interest will be applied. Should payment refusal happen and we Irrigation City Inc. get hit with a bank service fee, we will charge you that fee as well as any other fee’s. You the customer will pay all court costs incurred in collection of said monies, including attorney fee’s and lien processing fee’s.
